Rubicon Szőnyeg

From a silent WordPress site to 300+ enquiries a month.

Rubicon did not need another brochure site. We built a homepage that works as a focused landing page—and a custom CRM that carries every enquiry through the real operation.

enquiries. Every month.

The previous WordPress site generated none. Rubicon now receives more than 300 inbound enquiries a month, with individual days reaching 20.

Starting situation

The old website existed. As a sales channel, it was silent.

Rubicon already had the expertise, local reputation and customer proof. What it did not have was a website that turned those strengths into action. Visitors had to piece together the offer, decide what applied to them and work out the next step for themselves. Even when someone got in touch, the website ended where the operational work began.

Three decisions changed the commercial role of the site

01

Make the homepage do the selling

One focused page now carries the complete argument: problem, promise, proof, price context and a single next step.

02

Remove uncertainty before asking

Reviews, service boundaries, process details and price signals answer the questions that otherwise delay an enquiry.

03

Connect demand to delivery

Every enquiry enters the custom portal, where the team can reply, quote, schedule, fulfil and document the job without rebuilding the story elsewhere.

Challenge

The old WordPress site existed, but it did not generate enquiries. It explained the business without creating a persuasive customer journey, and the work behind each new lead still had to be coordinated across inboxes, notes and memory.

Solution

We rebuilt the homepage as a conversion-focused landing page, with a clear promise, local proof, transparent price context and one direct enquiry path. Behind it, a purpose-built CRM connects conversations, quotes, customers, jobs, documents, photos, logistics, analytics and human-approved AI assistance.

One continuous customer journey

The marketing page and the CRM were designed as one system.

Conversion does not end when a form is submitted. The build connects the promise customers see with the way the team actually responds and delivers.

  1. 01

    The homepage earns attention

A specific local promise, strong visual proof and a clear service area tell the right visitor they are in the right place.

  2. 02

Proof and price context lower risk

Reviews, before-and-after examples, process detail and transparent price logic answer the questions that block action.

  3. 03

    The enquiry captures useful context

The structured form can record contact details, address, service items, measurements, condition, extras and an estimated total.

  4. 04

The CRM creates one working record

Web enquiries and email conversations arrive in the same workspace with their full history, notes and next action.

  5. 05

The team carries the job to completion

Quote, pickup, assessment, cleaning, documentation, delivery and customer updates remain connected from start to finish.

Inside the custom portal

The real magic is the operating system behind the landing page.

Rubicon’s CRM was designed around the actual work of a carpet-cleaning business—not around generic pipeline columns. It keeps communication, pricing, physical items, logistics and customer proof in one controlled workflow.

Enquiries and email

01

Every conversation becomes one traceable case.

  • Website forms and incoming email in one enquiry workspace
  • Action, waiting and closed views with search and categorisation
  • Full email history, unread state and private internal notes
  • Inbox and Sent synchronisation with drafts, delivery logs and safe retry
  • Manual replies, saved drafts and quote cover emails in one composer

KaMIlla, with a human in control

02

AI removes blank-page work without taking business decisions.

  • Context-aware situation analysis and 3–5 suggested next steps
  • Quick or detailed, fully editable reply drafts
  • Improvement of a handwritten draft and quote cover-letter creation
  • Structured recognition of carpet type, size, condition and extras
  • On-demand internal job summaries
  • Context caching, personal-data reduction and mandatory human approval before sending

Quotes and sales conversion

03

A lead becomes a job only when the team decides it is real.

  • Survey appointments, customer details and service address
  • Multiple carpet items with type, dimensions, condition and treatments
  • Fixed or per-square-metre surcharges plus quote-level fees
  • Live price preview with mandatory server-side recalculation
  • Missing or uncertain information marked for clarification
  • Quote status, customer response and deliberate conversion to a job

Customers

04

The relationship stays visible beyond a single order.

  • Search by name, email or phone with duplicate warnings
  • Multiple saved addresses, a primary address and private notes
  • Complete job history, order count, lifetime value and average completed order
  • Creation without a job and review of uncertain imported relationships
  • Protected archiving when no open work remains

Fast job intake

05

The workflow works at a customer’s door as well as at a desk.

  • Existing-customer lookup or immediate creation of a new customer
  • Manual address entry or button-triggered GPS lookup without automatic saving
  • Quick intake by carpet count when measurements are not yet known
  • Optional exact price, estimated range or no price at pickup
  • Detailed catalogue intake with types, sizes, treatments and surcharges
  • Quarter-hour appointments and a configurable 1–14 day completion target

Jobs and daily work

06

The portal always answers: what needs to happen next?

  • Today dashboard for unanswered enquiries, pickups, deliveries and stalled jobs
  • Active-job search by customer, phone, address or job reference
  • Status, priority and stalled-work filters with single or bulk status changes
  • One recommended next action based on the job’s current state
  • Guided item assessment, automatic area calculation and price updates
  • Audit history, business-day stall detection, archiving and email-free restoration

Photos, files and documents

07

Evidence and paperwork stay attached to the right carpet and phase.

  • Mobile camera or gallery upload in controlled batches of up to 12 images
  • Carpet-level and phase-level labels: before, cleaning, drying and after
  • Private Cloudflare R2 storage with checked, short-lived access
  • Selective customer publication; private by default
  • Three-step pickup receipt with notes, photos and optional on-screen signature
  • Versioned A4 job sheets, stale-document warning and shared invoice PDFs

Customer tracking

08

Customers can follow progress without calling for every update.

  • Revocable, expiring and rate-limited secure tracking link
  • Current status, timeline, customer-facing message and accepted items
  • Only deliberately published photos, grouped by work phase
  • Receipt, versioned job sheets and selected invoice or document downloads
  • No internal job ID, private note or other customer data exposed

Logistics and automation

09

The physical workflow is visible, schedulable and harder to forget.

  • Full-screen job map with status and stalled-work filters
  • Direct calling, job opening and Google Maps navigation
  • On-demand geocoding for addresses without coordinates
  • Pickup and delivery scheduling with quarter-hour normalisation
  • Named business-closure periods with annual repetition and public notice
  • Queued status/photo notifications, configurable daily digest and idempotent sending

Analytics and administration

10

The owner sees both demand and delivery in the same business context.

  • Job volume, revenue, average completed order and customer-value reporting
  • Twelve-month trends and returning or high-value customer views
  • GA4 dashboard for traffic, sources, devices, cities, pages and events
  • KaMIlla activity, task volume and estimated time-saving dashboard
  • Editable public copy, services, prices, extras, reviews and contact details
  • Admin/staff roles, user management, system settings and migration checks

A result grounded in the operation

The 300+ figure is Rubicon’s reported monthly enquiry volume since launch, not a forecast or a vanity traffic number. The website creates the enquiry path; the offer, local reputation and disciplined follow-up inside the CRM turn that demand into real work.

Client perspective

Working with Maco was straightforward from the first conversation. He did not simply build us a new website: he took the time to understand how our business works, where prospective customers were getting stuck and what our team needed in day-to-day operations.

The new website brings us a steady flow of enquiries, while the custom CRM has made quoting, customer communication and job tracking much clearer and faster. I particularly value how quickly he responds, how he develops our ideas further and how consistently he recommends solutions that work in practice—not only in a presentation.

I am extremely pleased with the result and would confidently recommend him to any business looking for more than a nicer website: a system that genuinely supports the work behind it.
